GeM Tender Executive
Reporting to- Business Head

We are looking to hire an experienced, GEM Portal Expert

Key GEM Portal Expert Responsibilities:
  • Generate revenue from GeM
  • Participate in GeM tenders
  • Maintain and Update product catalogue on GeM
  • GeM Account Maintenance. Keeping the GeM Accounts up to date and regularly monitoring any updates made available on the GeM Portal
GeM Bid
  • Mining of Tenders / GeM Bid document related to the Company's Business Basket on the GeM Portal
  • Collating all the available GeM Bids which are live /published by various Government Departments on GeM Portal
  • Reviewing the Terms and Conditions of all the collated bid documents and identifying the bid documents wherein the Company can bid based on the Eligibility Criteria and GeM Terms and Conditions
  • Preparation of the Bids for submission
  • Submitting Representations and Clarifications on behalf of the Company for related Bids
  • Keeping track of the Bid Process of each Bid and accordingly taking appropriate action
  • Order Processing and Invoice Generation on the GeM
  • Coordinating and Communicating with the client counterpart for completion of the GeM Bid & GeM Order Processes
  • Coordinating with the Company's Accounts Team and also with the Client Counterpart for submission or release of EMD, Performance Security & other financial matters related to GeM Portal or Bids
Product Upload:
  • Identification of the Category wherein the Company's product could be uploaded
  • Identification of the Technical Specifications of the Product as per the GeM Template
  • Uploading of the necessary details and coordinating with the OEM & GeM Team for successful publishing of the product on GeM Portal
  • Regularly monitoring the receipt of Orders and Stock Status of all the products uploaded on GeM Portal for all the Companies
  • Order Processing and Invoice Generation on GeM Portal for Uploaded Products
  • Documentation of all the GeM Bids, Products and Processes
  • Coordinating with various internal teams for the purpose
  • Monitoring of the bid management in order to ensure it is aligned with the organization's requirements.
  • Coordination of tender reviews and deadlines and adjusting them to the frameworks given by the custom
  • Interface with govt. bodies/ Major institutional clients to understand sector-specific trends and potential opportunities available
  • Coordinating with the accounts department for the preparation of EMD, and Bank guarantee.
  • Follow up for refund of EMD, Bank guarantee.
  • To submit online / offline NIT Tenders with complete documentation
  • To update the tender tracker with relevant data for Win Loss Analysis.
  • To complete registrations with Government Customers.
  • To maintain and update EMD data.
Required Skills
  • Sound Knowledge of GeM Processes & User Interface – Buyer Side & Seller Side
  • Documentation, Email & Telephonic Communication
  • Letter Drafting skills is must
  • Familiar with the tendering process and with prior experience
  • Familiar with techno-commercial bids
  • Going through the tender portal sites and other sites to identify and download the tenders that organisation wish to participate in.
  • Strong time-management and organizational skills
  • Ability to coordinate several tasks at the same time
  • Well-developed negotiation skills
  • Experience with the GEM portal and E-Procurement is necessary.
  • Knowledge of ERP systems
  • Proficiency in Excel, Word, and PowerPoint.

Job Type: Full-time

Schedule: Day shift: Ability to commute/relocate to Aundh Pune

Education: Minimum Bachelor's Degree (Required)

Experience:Total work experience: 1 - 2 years (Required)
